How to Create an Event: A Step-by-Step Guide

Creating an event shouldn't require a spreadsheet, ten email threads and an app everyone has to download. With Evento, you build a shareable event page in minutes — one simple link, with a detailed program laid out in geolocated stages.

This step-by-step guide walks you from the very first click to tracking replies: creating your account, picking a theme, adding stages (date, time, address), importing your guest list and sharing the link. You'll also see how to protect a private event with an access code.

It's all free and no-strings: no credit card is needed to start, and your guests have nothing to download.

Everything you need, in one place

A page you share with a link

Every event gets its own web address. Send the link by text, WhatsApp or email — guests open the page with no account and nothing to install.

A program of geolocated stages

Describe each moment (date, time, address) as a stage. Some can stay hidden and reveal themselves on a date you choose.

Four themes plus custom colors

Classic, Modern, Festive or Elegant: pick the mood and tune the colors to match your event — no coding required.

Guests and RSVPs in one place

See who confirmed, who's pending and who declined from a single dashboard. Import your list as a CSV to save time.

Public or private, your call

Make the event visible to everyone or lock it with an access code. You decide who sees the exact address and the content.

Tracking and handy extras

Page view stats, a photo gallery, links to a money pot, a Tricount or a gift list — each added in a single click.

Before you start

Gather the basics: the event title, a date (or a date range), a location, and your guest list if you already have one. Nothing is set in stone — everything stays editable after publishing, so you can start even with partial details.

Step 1 — Create your account and page

  1. Go to the sign-up page and create a free account (email or Google).
  2. Click Create an event.
  3. Fill in the title, the start date (and end date if needed) and the location type: in person with an address, or online.
  4. Confirm: your event page is generated with its own shareable web address.

Tip: a clear title and a visible date reassure guests at first glance.

Step 2 — Pick a theme and customize

Evento offers four visual themes: Classic, Modern, Festive and Elegant. Choose the one that fits the mood, then tune the colors to match your style. Add a photo gallery (your own images or an Unsplash selection) to set the tone. No technical skills needed — it's all visual.

Step 3 — Build the program as stages

The heart of an Evento event is its stages. Each stage is one moment, with its own date, time and address.

  1. Add a stage for every highlight (welcome, dinner, activity, party…).
  2. Enter the address: it appears geolocated on the public page.
  3. Want a surprise effect? Mark a stage as hidden and schedule its reveal date: guests discover it when the time comes.

You can reorder, edit or hide stages at any time.

Step 4 — Add your guests

From the participants dashboard:

  • Add guests one by one, or import a CSV file for a long list.
  • Assign roles if needed.
  • Track statuses live: confirmed, pending or declined.

Step 5 — Public or private: manage access

  • Public: the page is open to anyone with the link (and indexable if you enable it).
  • Private: turn on an access code. Without the code, neither the exact address nor the protected content is shown.

Choose based on how sensitive your event is.

Step 6 — Share the link and track replies

Copy your event address and send it by text, WhatsApp, email or social media. Guests open the page without installing anything. Then head back to your dashboard to:

  • follow confirmations in real time,
  • check the page's view statistics,
  • nudge guests or round out the program as needed.

Take it further

Add useful links to your page: a money pot, a Tricount to split costs, a gift list or a downloadable brochure. Finally, install Evento as a PWA on your phone to manage your event even offline.

Frequently asked questions

Do I have to pay to create an event?

No. Creating a page, adding stages, managing guests and sharing the link are all free. An optional premium plan exists, but no credit card is required to get started.

Do my guests need an account or an app?

No. They just open your event link in their browser. If you like, you can install Evento as a PWA on your phone for faster access.

How do I make my event private?

Switch visibility to private and turn on an access code. Only people with the code see the exact address and protected content, and you stay in control of the guest list.

Can I import my guest list?

Yes. Upload a CSV file to add guests in bulk, then track their status (confirmed, pending, declined) and assign roles from the dashboard.

What is a hidden stage?

A stage your guests can't see yet: you schedule its reveal date. Handy for a surprise venue or an announcement to unveil on the day.

How long does it take to create an event?

A few minutes for a simple page. You can publish a first version, share the link, then complete the program and visuals whenever you want.
